renewalUnit and Membership Renewal

All units, Scouts, and Scouters must renew annually. Scouting America offers an online member and unit renewal process. All units and members currently registered with Scouting America must complete this process annually. For more information, visit scouting.org/resources/unit-and-membership-renewal.

 

Units should:

✔  Verify and update annually that every youth has the correct parent(s)/guardian(s) identified with the correct email address(es) and mobile phone number(s) in the Roster tool of My.Scouting. Changes in Scoutbook do not sync with My.Scouting. The unit Key 3 (or delegate) can verify this information using the Roster Report produced by clicking "Export Roster" in the Roster tool. There is no online mechanism for the unit to modify parent/guardian information. Notify Council Registration of any updates that are needed. (Be sure to specify parent/guardian name and, if known, parent/guardian member number in the notification. P/G name and member number are not available in the Roster Report.)
Verify and update annually that every member (both youth and adult) has the correct contact information (address, email address, and phone number) in the roster tool of My.Scouting. Changes in Scoutbook do not sync with My.Scouting. The unit Key 3 (or delegate) can verify contact information using the Roster Report produced by clicking "Export Roster" in the Roster tool. Incorrect information for an individual can be updated by checking the checkbox in front of the name and then clicking "Edit Profile" in the Roster tool.
Decide annually who will handle renewals (parents/members, the unit, or a combination).
Clearly communicate plans, procedures, and expectations to members and families—multiple times. A unit's new member coordinator can play a vital role in communication and support.
Remind parents (members) to complete renewals on time if they are handling the renewal. Frequent reminders are necessary.
Train parents/guardians (members) on how to renew, if they are expected to handle them. (videos and instructions).
Identify a parent/guardian (member), such as a new member coordinator, to serve as the primary resource for renewal questions.

 

For unit renewal, units should:

✔  Ensure all requirements for unit renewal are met at least 60-90 days prior to the expiration date.
✔  Keep the roster of key leaders up to date. Do not wait for renewal time to update.
✔  Ensure that unit leaders’ safeguarding youth training (SYT) will remain current through the unit’s expiration date.
✔  Ensure criminal background check (CBC) forms for unit leaders are on file.
